Template Licence

How HR templates, kits and frameworks supplied by CAQA People may be used, and the uses that are prohibited.

HR templates, frameworks, policy documents, kits and other materials supplied by CAQA People are licensed, not sold outright, unless expressly stated otherwise. The licence allows the client to use the material internally for the permitted purpose stated at the time of engagement. The client must not resell, redistribute, publicly publish, upload to third-party libraries, remove copyright notices from, or provide access to unrelated organisations to, any supplied material without written permission. CAQA People is part of CAQA Groups, and supplied materials are the property of Career Calling International Pty Ltd (ABN 53 162 651 238).

1. What this licence covers

This Template Licence applies to every position description, recruitment kit, onboarding pack, staff handbook, HR policy, trainer and assessor file template, performance framework, employment document, survey instrument and any other template, kit or framework supplied by CAQA People, whether delivered in editable, print or electronic form, and including any updated versions we later provide. It applies alongside the written scope for your engagement; if the scope states different licence terms, the scope prevails.

2. Grant of licence: internal business use only

On payment of the agreed fee, the client organisation receives a non-exclusive, non-transferable licence to use the supplied materials internally, for its own workforce and its own operations. Internal business use includes use by the client's employees, contractors and campuses operating under the same legal entity, and storage on the client's own document, HR or intranet systems for staff access. The licence covers one legal entity; related entities, partner organisations or franchisees each require their own licence unless the written scope says otherwise.

3. Prohibited uses

Unless we agree in writing, the client must not: resell, rent, lend or sublicense the materials; redistribute them to any other organisation; publish them on a public website or social platform; upload them to shared template libraries, marketplaces or AI training datasets; remove, obscure or alter copyright notices or attributions; use them to build competing template products; or provide copies to consultants for reuse with other clients. These restrictions protect the licence value for every client and survive the end of an engagement.

4. Adapting the materials

Clients may contextualise supplied materials internally, for example by inserting their branding, adjusting role titles or aligning wording to their award, enterprise agreement or procedures. Responsibility for adaptations rests with the client, and adapted documents should be checked against the instruments and laws covering the client's workforce, as explained in our HR Disclaimer. Adaptation does not transfer ownership of the underlying material.

5. Ownership

All intellectual property rights in supplied materials, including copyright in their structure, wording and design, remain with Career Calling International Pty Ltd. The client owns the information it inserts into the materials about its own organisation and people, but not the template or framework itself.

6. How licences are granted and paid for

No payments are taken through this website, and materials cannot be purchased or downloaded from it. Licences are granted through a written scope, proposal or invoice agreed directly with our team, and any fee, cancellation or refund position is set out in that document. Nothing in this licence or in an engagement document limits rights that may apply under the Australian Consumer Law.

7. Breach, suspension and termination

If materials are used outside this licence, we may require the misuse to stop, suspend the delivery of updates or support, terminate the licence, and recover any loss caused by the misuse. On termination for breach, the client must stop using the materials and delete or destroy copies, except where a document has already been lawfully implemented for the client's own workforce.
